The importance of doing it right the first time is paramount in eliminating counterfeiting, product tampering and gray market activity.

In a setting where 45,000 contracts needed to be signed – including agreeing to special commercial terms; and enabling 12 sales forces made up of over 600 sales representatives to have access; this solution needed to be efficient, effective and easy to use. In addition, it needed to be able to capture signatures on tablets and allow for paper-based exceptions to be transformed digitally.

Business Automation Experts designed a process, and built the solution as a Managed Service to capture contracts in an expedited time frame, minimizing the burden on sales reps as well as HQ staff. Flexibility was built-in to allow signature capture on either tablets or paper. A digitally rendered signed contract is catalogued and feedback circles back to the account executive on its acceptance. All distribution points are notified overnight of accounts that are cleared for product shipment.

The process integrates seamlessly with both ERP and CRM systems to ensure a highly accurate and timely contract status repository. It also feeds a variety of distribution systems with cross-referenced account numbers for easy tracking, shipping and audit needs.

The result

By applying BAE’s agile methodologies and using document management/ECM technology;  a prototype of the new process was created in 2 weeks.

The final solution included contract signing performance and compliance monitoring to help accelerate product sales. Optical Character Recognition (OCR) and ICR (handwriting recognition) technologies were leveraged to allow approval of a contract overnight. Exception handling was worked into the design at launch. This cloud-based approach went from concept to production in 6 weeks.
